Private Pool Hire

1. HIRER DETAILS

Full details of the hirer must be provided at booking stage, including Name of Hirer, Contact Number and Email Address.

2. DATE AND TIME OF HIRE

The date and time of the pool hire will be agreed upon booking. Full payment must be received prior to confirmation of booking.

3. PAYMENT

a. A hire charge of (Pending number of people – see pricing below) is payable in advance to secure the booking and is non-refundable.

2026 Pricing Structure:
Family Hires - Up to 10 people - 
£50.00 per hour (Cross in Hand / Maynards Green Pupils Only)
£60.00 per hour (External to School) 

Pool Hires - Up to 20 people 

£80.00 per hour (Cross in Hand / Maynards Green Pupils Only) 

£100.00 per hour (External to School) 

b. Payment must be made upon booking via the app or 72 hours in advance of time and date of booking. For all BACS transfers please
use your Surname+PH as reference

c. In the event of pool closure due to circumstances beyond reasonable control (including adverse weather, plant failure, or water quality issues), an alternative session will be offered where reasonably possible.

4. NATURE OF HIRE

·  This hire is for private use (e.g. family swim / pool party / fun swim).

·  This is an unsupervised recreational session.

5. CONDITIONS OF USE

a. Session Information

Upon booking, please email coordinator@heathfieldswimschool.co.uk to confirm the maximum number of bathers in your session, age range of swimmers and any relevant medical conditions that we need to be aware of.

b. Lifeguard / First Aid Provision

• Pool hire sessions are provided on an unsupervised basis, and the Hirer remains fully responsible for the supervision, safety and behaviour of all participants throughout the hire period.
• As an additional safety measure, Heathfield Swim School will provide a qualified Lifeguard, Pool Rescuer and/or First Aider who will remain on site for the duration of the session.
• The role of the Lifeguard, Pool Rescuer and/or First Aider is solely to respond in the event of an emergency. They are not responsible for supervising participants, enforcing pool rules, managing behaviour or providing instruction during the hire.
• In the event of an emergency, all participants and spectators must immediately follow any instructions given by the Lifeguard, Pool Rescuer and/or First Aider.

c. Supervision & Responsibility

·  The Hirer must be present for the entire duration of the session.

·  The Hirer is responsible for the behaviour, safety, and supervision of all participants.

·  Parents/guardians must directly supervise children in their care at all times.

Minimum supervision expectations (aligned with national guidance):

·  Children under 8 must be closely and continuously supervised in the water

·  Non-swimmers and weak swimmers must remain within arm’s reach of a responsible adult

·  A responsible adult must be in the water with any child under 5

d. Use of Facilities

·  Access is restricted to the pool, poolside, and changing areas only

·  No access to other areas of the school is permitted

·  No ball games or activities elsewhere on site

e. Pool Safety Rules

All users must always follow these rules:

·  No running on poolside

·  No diving unless clearly safe and depth appropriate

·  No pushing, ducking, or rough play

·  No food, drink, or glass on poolside

·  Appropriate swimwear must be worn

·  No outdoor shoes on poolside

·  Do not enter the pool under the influence of alcohol or drugs

·  Follow all safety signage and instructions

Anyone failing to follow these rules may be asked to leave.

f. Hygiene & Cleanliness

·  Swim nappies must be worn for any non-toilet-trained children

·  All litter must be removed at the end of the session

·  Changing rooms and poolside must be left clean and tidy

g. Incident Reporting

·  Any accidents, incidents, or near misses must be reported immediately

·  Serious incidents must be reported to Heathfield Swim School as soon as possible

6. HEALTH & SAFETY

·  All activities are undertaken at the Hirer’s own risk

·  The Hirer must ensure all participants are medically fit to swim

·  The Hirer must make all participants aware of pool rules and emergency procedures

7. LIABILITY, ASSUMPTION OF RISK & INDEMNITY

·  Swimming carries inherent risks, including risk of injury or drowning

By booking the pool with us, the Hirer confirms that:

·  All persons using the pool do so entirely at their own risk

·  The Hirer accepts full responsibility for all participants

·  The Hirer is responsible for ensuring adequate supervision at all times

To the fullest extent permitted by law: Cross in Hand / Maynard's Green Primary School and Heathfield Swim School accept no liability for injury, loss, or damage arising from use of the facility. The Hirer agrees to indemnify and hold harmless both the School and Heathfield Swim School against any claims arising from the hire

8. DAMAGE & CARE OF FACILITIES

·  The Hirer is responsible for the condition of the facilities during use

·  Any damage must be reported immediately

·  Costs for damage or excessive cleaning may be charged to the Hirer

9. TERMINATION

Heathfield Swim School reserves the right to terminate the session immediately if:

·  Safety rules are not followed

·  Behaviour is unsafe or inappropriate

·  Any terms of this agreement are breached

No refund will be given in such circumstances.

10. DECLARATION

By booking with Heathfield Swim School, I / we confirm that I / we have read, understood, and agree to abide by the terms of this agreement. I accept full responsibility for all participants during the hire period.
